Paint, Soil & Water Testing Company, LLC ("we," "us," or "our") operates the website at paintsoilwatertesting.com and provides EPA-certified lead paint risk assessments and environmental testing services in the Cleveland, Ohio area. What information we collect
We collect only the information needed to provide our inspection services and run our business.
Information you provide directly:
- Name, email address, phone number, mailing address
- Property address and details about the property to be inspected
- Billing information (collected through our payment processor; we do not see or store full credit card numbers)
- Information you provide on pre-inspection forms (occupant questionnaires, property information sheets)
- Information you give us during inspections (photographs of the property interior and exterior, notes from interviews with occupants)
Information collected automatically when you use our website:
- Standard web analytics: page visits, browser type, approximate location based on IP address, referral source
- Cookies set by our website hosting provider for basic site functionality
Information from third-party services we use to run our business:
- Calendly (booking)
- HubSpot (customer relationship management)
- QuickBooks Online (invoicing and payment)
- Google Drive (storage of inspection reports and supporting documents)
- Google Forms (pre-inspection questionnaires)
When you book an inspection, your contact and billing information flows from Calendly into HubSpot and QuickBooks so that we can schedule the inspection and invoice you. Each of those services has its own privacy policy that also applies to your data while it sits in their systems.
How we use your information
We use the information we collect only to:
- Schedule and perform inspections you have requested
- Generate inspection reports and Lead Safe Assessment certifications
- Invoice you for services and process payments
- File required reports with the City of Cleveland (ACCELA portal) when applicable
- Communicate with you about your inspection (booking confirmations, prep instructions, results, follow-ups)
- Comply with our legal and regulatory obligations as an Ohio Licensed Lead Risk Assessor
How we share your information
We share information only as described below:
- Service providers we use to run the business (Calendly, HubSpot, QuickBooks Online, Google Workspace, our laboratory partners for sample analysis). These providers process your information on our behalf and are bound by their own privacy obligations.
- Government and regulatory authorities when required, such as filing inspection reports with the City of Cleveland or responding to lawful requests.
- Property owners and authorized parties for whom the inspection was performed, when delivering the inspection report.
We do not sell, rent, or trade your personal information to advertisers, marketers, or any other third parties.
How we protect your information
- All connections to our website and inspection systems use HTTPS encryption
- Inspection reports and customer records are stored in access-controlled systems (Google Drive, our hosted inspection platform)
- Access to customer information is limited to authorized personnel of Paint, Soil & Water Testing Company, LLC
- Authentication tokens for connected accounting systems (QuickBooks Online) are stored as encrypted environment variables, not in source code
- We retain inspection records for at least seven years to comply with state record-keeping requirements; other personal data is retained only as long as needed for the purposes described above
Your rights and choices
You may at any time:
- Request a copy of the personal information we hold about you
- Request that we correct inaccurate information
- Request that we delete information that is not subject to a legal record-retention requirement
- Withdraw consent for non-essential communications

If we have connected to your QuickBooks Online account on your behalf as an integration partner, you may revoke that connection at any time from your QuickBooks Online account settings, and we will stop accessing your QuickBooks data immediately upon revocation.
Children's privacy
Our services are not directed to children under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be communicated by email to existing customers.
